How many vehicles do I need?
Group people by movement, not by rank. A sedan carries up to three passengers in comfort. A Cadillac Escalade seats 7 and a Chevrolet Suburban seats 8 with luggage. Speakers and principals who run to their own timetable should have a dedicated car. Everyone else can share by hotel.
What should the transport brief include?
Give your supplier the event dates, venue, hotels, a list of movements with times, passenger names for each vehicle, a contact on the day and the finish time. Flag anything unusual: early call times, late dinners, security requirements or guests with reduced mobility.
Share changes as they happen. Event schedules always move, and a supplier who hears early can adjust without cost.
What goes wrong, and how do I prevent it?
